How do I submit LMS Course Requests online?

Requests to use Rowan Global’s Learning Management System (LMS) with your course(s) are now submitted online through the Rowan Self-Service (Banner) system. Faculty members can submit a course request (request export), cross-listing request, as well as an extension request online. 

Note: When there is more than one instructor for a course, only the primary instructor (instructor of record) can request export, cross-listing or an extension for a course. The course will not be listed on the Learning Management System Course Requests page for secondary instructors, and thus are unable to submit LMS course requests.

About Rowan Global LMS Course Requests

Requests to use Rowan Global’s Learning Management System (LMS) (i.e. Canvas) with your course(s) are now submitted online through the Rowan Self-Service (Banner) system. Faculty members can submit a course request (request export), cross-listing request, as well as an extension request online. Click here to learn how to submit LMS Course Requests online.

  • For Online, Hybrid, & LMS-Requested Courses: Rowan Global online, hybrid, and LMS-requested (formerly called web-assisted) courses are automatically exported and created in Rowan Global’s Learning Management System (LMS). If you are teaching  Rowan Global course section that has been designated as online, hybrid, you do NOT have to submit an LMS Course Request. You should consult your assigned Instructional Designer for details as to when your course will be available in the LMS.
  • For Evening and Day Courses: If you are teaching a Rowan Global evening or day course and you would like a course shell to be created in Rowan Global's LMS, you MUST submit a course request to have a course shell exported and created in Rowan Global's LMS. Currently any course whose section includes a letter with the number (i.e. 1C) is managed through Rowan Online, a division of Rowan Global. When submitting a request, you must select an area of either Rowan Global (formerly CGCE) or Traditional. If your course shows up under the CGCE area, it will be managed by Rowan Online, which is a division of Rowan Global. If it shows up under Traditional, it will be exported to the on-Campus Blackboard system managed by Instructional Technology (IT). Click here to learn how to submit LMS Course Requests online.

How to Submit Rowan Global LMS Course Requests Online

  1. After logging in to the Rowan Online Portal, and click on Login to Self-Service (Banner) on your Portal Dashboard.
  2. On the Welcome to Rowan Self-Service page, click Access Banner Services (Secure Area – Login Required).

  3. Enter your 9-digit Rowan ID (Banner ID) and PIN.

  4. Click Login.
  5. Click on the Faculty Services tab.
  6. Scroll down to the bottom and click on Learning Management System Course Requests.

  7. On the Select Term page, click on the Select a Term drop-down menu and select a term (i.e. Fall 2014).

  8. Click Submit.
  9. On the Select an Area page, click on the Select an Area drop-down menu and select College of Graduate & Continuing Education.

  10. Click Submit.
  11. On the Accept Policy page, read the Rowan Global’s Course Request Policy and click Accept. Note: Rowan Global faculty only have to accept the policy once per term.

  12. On the Learning Management System Course Requests page, a list of all Rowan Global courses you are teaching in the selected term will be listed.

  13. The following information or actions is available for each course:
    • CRN: Course Reference Number
    • Subj-Crse-Sect: Subject-Course-Section
    • Title: Course Title
    • Start/End Date: Start and end date of the course
    • Session: Session Type (i.e. Online, Hybrid, Web-assisted, Weekend, Evening, Day, etc.)
    • Export Start/End Date: Indicates the time frame (Start and end date) the course will be available in Rowan Global’s LMS
    • Last Export Date: The date of the last time Rowan Global’s LMS was synced (updated) with Rowan Self-Service (Banner). Note: When the LMS syncs with Self-Service, changes made to course enrollment (i.e. A student adds or drops your course) in Self-Service are reflected in Rowan Global’s LMS. For example, if the Last Export Date is 9/12/2014 and a student drops the course later that day, the student won’t be removed from the course in Rowan Global’s LMS until the next scheduled sync.
    • Actions: Request Export or Request Extension
  14. To submit a course request, click the Request Export button for a specific course.

  15. Once submitted, the approval status in the Last Export column will be listed as pending.

    • IMPORTANT: A course shell will be automatically approved, exported and created in Rowan Global’s LMS within 12 hours on a normal business day. For example, if you submit a course request on Tuesday at 1:00PM, the course will be automatically created at 1:01AM on Wednesday in Rowan Global’s LMS.
  16. Once a course has been approved and created in Rowan Global’s LMS, “section has already been exported” text will appear in the Crosslisting Selection column for the course. The Request Export button will not longer appear in the Action column for the course, and will be replaced by the Report Extension button.
    • Note: Faculty can submit a course request before and even after the start date of a course. Faculty cannot submit a course request after the end date of a course.

How to Submit a Request to Merge Multiple Sections (Cross-Listing)

Rowan Global faculty can submit a request to have multiple course sections merged. This is known as cross-listing courses. An extension course with multiple sections with the same section number, but different letters (i.e 1C and 1F) must be cross-listed (merged) in the LMS. The multiple sections are for billing purposes only, but are technically considered a single course section. Instructors may request to cross-list multiple sections (i.e. 1C and 2C). Instructors may also request cross-listing of different courses (i.e. SPED 08.130 1C and SPED 08.555 1C). The requestor must be the primary instructor for both sections. All cross-listed course requests must be approved by the Director of Rowan Online prior to export.

Restrictions for Cross-listing Courses:

  • Courses can only be cross-listed if they have the same start and end date.
  • Requests for cross-listing courses must be submitted prior to the courses’ start date. Once the start date has passed, the courses can no longer be cross-listed, but they can be exported. To submit a request to cross-list courses, do the following:

  1. On the Learning Management System Course Requests page, a list of all Rowan Global courses you are teaching in the selected term will be listed.

  2. To submit a request to cross-list a set of courses, select all of the check boxes for courses you want to merge/cross-list in the Crosslisting Selection column.
    • IMPORTANT: Only submit one cross-listing request at a time.
  3. Scroll down the page and click on the Request Crosslisting button in the Crosslisting Selection column.

  4. Once submitted, the approval status in the Last Export column will be listed as pending.

    • IMPORTANT: All requests for cross-listing courses must be approved by the Administrator. Once you’ve sub- mitted your request for cross-listing courses, the Administrator will be notified and will approve or decline the request within 24-48 hours. You will be notified via email when your request has been approved or declined.
    • If you have an exceptional or unusual cross-listing request, please submit your request through the Rowan Online Support Ticket System. Click here to submit how an online support ticket. 
    • If your request is approved, the cross-listed course shell will be automatically exported and created in Rowan Global’s LMS within 12 hours on a normal business day. For example, if your request is approved on Tuesday at 1:00PM, the course will be automatically created at 1:01AM on Wednesday in Rowan Global’s LMS.
    • There are several restrictions for cross-listing courses. See the note regarding Restrictions for Cross-listing Courses above.
  5. Once a course has been approved and created in Rowan Global’s LMS, “section has already been exported” text will appear in the Crosslisting Selection column for the course. The Request Export button will not longer appear in the Action column for the course, and will be replaced by the Report Extension button.

How to Submit an Extension Request

Rowan Global faculty can submit a request to have access to a course in Rowan Global’s LMS extended. By default, courses are available in Canvas 90 days past the end date of the course.

IMPORTANT:

  • All requests for extending access to courses in Rowan Global’s LMS must be approved by the Administrator. Once you’ve submitted your extension request for a course, the Administrator will be notified and will approve or decline the request within 24-48 hours. You will be notified via email when your request has been approved or declined.
  • In some cases, additional authorization will be required from the Department Chair or College Dean, who may be asked to submit written approval to the Rowan Online Administrator.
  • If your extension request is approved, the course will be available until the requested extension date plus 30 days. For example, if the end date for your course is February 6th and you requested to have access extended until March 1st, the course would be available in Rowan Global’s LMS until March 31st.

To submit a request to extend access to a course in Rowan Global’s LMS, do the following:

  1. On the Learning Management System Course Requests page, a list of all Rowan Global courses you are teaching in the selected term will be listed.

  2. To submit an extension request for a course, click the Request Extension button for a specific course.
  3. Select the date you want access to your course in Rowan Global’s LMS extended to.
  4. Once submitted, the status will be listed as pending in the Action column.
  5. Once approved, the date listed under the Request Extension button in the Action column will match your requested extension date.


About Exporting LMS Courses in Canvas

For Online and Hybrid Courses: Rowan Global online and hybrid courses are archived by Rowan Online, a division of Rowan Global. These files are stored by Rowan Online. If you are teaching an online and hybrid course, you do NOT have to archive your course in Rowan Global’s LMS.

For Web-Assisted, Evening and Day Courses: By default, courses are available in Rowan Global’s LMS 90 days past the end date of the course. If you are teaching a Rowan Global LMS-requested, evening or day course, you are responsible for archiving your course and your Gradebook in Rowan Global’s LMS within 30 days past the end date of the course. Division of Online Services will archive your course, and store this file. Faculty are strongly encouraged to keep a personal copy of all course files.

  • What is an Export? Exporting a course creates a package of the course content that can later be imported into Canvas and used to teach another course with the same content.
