How to Use the User Information Look-Up Tool

Note: This guide is for adminstrators and staff only—not students or faculty.

The User Information Look-Up tool allows staff to look up student or faculty records and enrollment data with a user's Banner ID number.

How to Use the User Information Look-Up Tool

  1. Go to http://www.rowanonline.com/portal. In the Portal Login area, click on Show Admin Log-in and enter your assigned username and password and click Login.
  2. On the Dashboard, click on Look Up User Information.
    Click Look Up User Information 
  3. On the User Information Look-Up page, enter a user's Banner ID number (9-digit number) into the Banner ID text box. Click the Look-Up User button or press Enter or Return on your keyboard.
    • Note: A "ERROR! The Banner ID is not valid" error message will appear if the Banner ID number is not valid.
    • Tip: You can paste a user's Banner ID number into the Banner ID text box.

  4. The following user information will appear under the Banner ID text box:
    User Information
    • Name
    • Username
      • If the user's account has not been created or is in the process of being created, the following warning will appear: *WARNING! No Username On File!* 
      • If this warning appears, click here to learn more.
    • Rowan Email
    • Recent Term Code
    • Program Code
    • Program Description
    • Has Rowan Online Portal Account? 
      • If yes, the user should be able to login to the Rowan Online Portal.
      • If no, the user will not be able to login to the Rowan Online Portal.  
  5. Under the User Information area, there are three areas:
    Results area
    • Title of Selected Term: For example, the title may appear as: Summer 2012 (05/14/2012 to 08/28/2012) Schedule
      • Note: If there is no Title of Selected Term shown, then the user is not registered for a course in the current term. Because of this, the following error message will appear: There is not data on record for [Banner ID] in [Selected Term] (i.e. There is not data on record for 910010000 in Summer 2012).

    • Select a Term for Enrollment Data drop-down menu: Allows you to select a different term and view the user's information for that term. To learn how to change the selected term, click here.
    • Results area: If the user is enrolled in a course for the selected term, a table will appear with the available information for that user in the selected term. To learn how to view course information, click here.
      • The Results area will include:
        • CRN: Banner SIS number assigned to the course
        • CRS NUM: Course Number
        • Title: Course Title
        • Section:
          • Rowan Global course sections end in a letter (i.e. 1C)
          • Traditional Rowan course sections (non-Rowan Global courses) end in a number (i.e. 2)
          • Note about merged Rowan Global courses in the LMS: Some course sections that appear separately in a student’s schedule will be merged in the system (students will not likely be in both separate sections). Typically, merged sections will have the same NUMBER but a different LETTER. For example, SPED 08.130 Sections 1C and 1F will be merged into a single section in Blackboard. That section will carry the associated letter that appears first in the alphabet. Per the previous example, the merged section would appear in Blackboard as SPED 08.130 Section 1C (it will contain all students enrolled in sections 1C and 1F). Another example would be NURS 03.303 Sections 1C and 1A where the merged section in Blackboard would be NURS 03.303 Section 1A and contain ALL students from 1C and 1A.
        • Role: Student or Faculty
        • Type: Possible types include online, hybrid, web-assisted, day, evening, and weekend
        • Start: Official Banner Start Date 
          • Note: All courses become available in the Rowan Global LMS for preview 5 days prior to the start date of the course.
        • End: Official Banner End Date 
          • Note: Courses are available in the Rowan Global LMS for 30 days after the last day of the course.
        • Register: Date the student registered for this course
          • Note: BRAND NEW students may need 24 to 48 hours from the time of registration (date provided in table) for their account to be created and imported into the LMS.
        • Withdraw: Date student was dropped or withdrawn from the course

If the "WARNING! No Username On File!" Error Appears

If the user's account has not been created or is in the process of being created, the *WARNING! No Username On File!* warning will appear.

If this warning appears, then either:

  • The user has not activated their Rowan Network Account; 
  • Or the user just registered for a course in the current term, and their account has not been created yet in the system. The date the user was registered for a course is listed in the table under the Register column. 
    • Note: It can take up to 48 hours for their account to be created. If the date the user registered for the course is within the last 48 hours, notify the user that they should attempt to login to the various Rowan systems and services that require Rowan username and password (i.e. Blackboard, Student Email, Library, etc.) after noon of the following day.

How to Change the Selected Term

To select a different term and view the user's information for that term, do the following:

  1. Click on the Select a Term for Enrollment Data drop-down menu and select a different term. 
    • Note: When selecting terms, note that ONLY terms where enrollment data is present will be available in the drop-down menu.
  2. If available, the user's information for the selected term will appear in the table in the Results area. 

How to View Course Information

The view course information, do the following:

  1. In the table that appears in the Results area listing the courses for the selected term, hover your mouse over the TITLE of a course.

  2. The following information will appear (if available): 
    • Is this a Rowan Global Course?
      • If YES, we provide support to the user.
      • If NO, refer the user to the Support Desk (856-256-4400 or support@rowan.edu)
    • Instructor: Last name of Instructor
    • LMS: 
      • If Rowan Global LMS (ours) is listed, we provide support to the user.
      • If Trad LMS (on-campus) is listed, refer the user to the Support Desk (856-256-4400 or support@rowan.edu).
    • Campus: Campus location of class (i.e. Main or Camden)
    • Meeting Information: 
      • If it is an online course, no meeting information will be provided.
      • If it is a hybrid, web-assisted, day, evening or weekend course that has a face-to-face component, the class meeting information will be provided.
